JOB SUMMARY

The Administrative Assistant serves as the first point of contact with visitors, customers and aids individuals by responding to routine questions; providing general information; answering the main phone line.  The Administrative Assistant is responsible for administration of day to day activities in order to ensure effective and efficient operations.  In this role, the incumbent will provide confidential administrative, secretarial and office management support, often in an independent manner.

DUTIES AND RESPONSIBILITIES:

  • Must be able to work independently, have strong organization and time management skills with the ability to multitask, and be flexible to change
  • Reports to the Sales Team/Sportsplex Financial Controller
  • Courteous, diplomatic reactions (on phone and in person)
  • Relay messages or redirect inquiries as required
  • Responds visitors with professionalism
  • Answer telephone and route calls promptly
  • Receive, sort and promptly distribute mail to all department heads
  • Arrange for photocopies, courier pick-up and deliveries, and out-going mail, faxes
  • Assist the Sale Team/Financial Controller when needed
  • Ability to work in a dynamic a busy working environment
  • Picking up Nation mail from Finance Department
  • Maintaining Mail, Receivables, and Boardroom logs
  • Accounts payable – invoice data entry, generate payments
  • Accounts receivable – accurately enter data to generate customer invoices, contact customers with overdue accounts
  • Complete payroll
  • Maintain confidential files and records of employee attendance
  • Enroll new hires
  • Put up weekly schedule on Monitors for ice & fieldhouse booking
  • Provide a variety of administrative duties to ensure operations are maintained in an effective and accurate manner.
  • Process payment for Facility booking for Sale Team
  • All other duties assigned by General Manager

QUALIFICATIONS AND SKILLS:

  • Minimum of 2 years of Administrative Assistant experience.
  • Office Administration Certification Program is an asset
  • Positive Self-Improvement Courses is an asset
  • Knowledge of MS software applications including Word, Excel, PowerPoint and Xyntax
  • Knowledgeable about Tsuut’ina Language, Culture and History
  • Pleasant telephone and in-person manner and voice.
  • Acceptance and prompt execution of all work assignments, especially detail-oriented tasks.
  • Ability to get along with co-workers as well superiors
  • Must be a well-organized individual
  • A valid Alberta driver’s license and reliable transportation is required.
  • Must be prepared to provide a current (6 months or less) Criminal Record Check
  • Must be prepared to abide by Tsuut’ina HR policy including drug testing.
  • Must sign an Oath of Confidentiality
