 PROGRAM/POSITION OVERVIEW:

It is the Committee Administrator’s responsibility to make sure that everyone participating in the meeting knows the time and location of meetings, and to keep an accurate record of all proceedings. Playing a key role in ensuring processes are followed. This position supports the Committee Members and provides staff support for meetings and general administrative support.

Please be advised this position is a PT basis contract, only paid by honoraria as per Committee Terms of Reference.

DUTIES AND RESPONSIBILITES:

Reports Language & Culture Committee

  • Preparing agendas outlining the issues to be discussed at the meeting and distributing them to those attending.
  • Liaising with attendees of the meeting to ensure the agenda is accurate.
  • Attending meetings, listening to debates/discussions and taking accurate notes.
  • Writing up minutes – a concise, formal record of discussions and decisions made at the meeting.
  • Circulating minutes to committee members and other departments and individuals, including any agreed action points.
  • Producing reports, presentations and other documents.
  • Responding to requests from Nation Departments, Programs and the Tsuut’ina Nation.
  • Advising Committee Members about official procedures and other matters.
  • Checking the date and time of the next meeting as decided by the Committee, making sure that an appropriate room is available and reminding participants when and where to attend.
  • General administrative duties as required by the Tsuut’ina Gunaha Institute Director.
  • Ensure the filing system is kept current
  • Answer and record all phone calls when needed
  • Prepare, review, and submit payables to the Tsuut’ina Gunaha Institute
  • Attend all meetings and record all meetings
  • Assist Elders during the meetings, serve food and drinks, and assistance when requested

QUALITY, SKILLS, AND KNOWLEDGE:

  • Tsuut’ina Nation Member
  • Knowledge of Tsuut’ina Language, culture, and history
  • Committed to the full revitalization of the Tsuut’ina Language
  • Minimum Grade 12 diploma with post-secondary experience being an asset
  • Experience maintaining program records
  • Experience processing payroll and payables
  • Knowledge of the Tsuut’ina Nation financial protocols and processes
  • Knowledge of “AGLC Eligible Use of Proceeds Manual”
  • Knowledge of Tsuut’ina Policy and Procedures
  • Verbal and written communication skills
  • Experience working with Elders
  • Committed to the full revitalization of the Tsuut’ina Language

IN ADDITION:

  • Depending on your position – a Vulnerable Sector check must be required upon application from all provinces, states or countries lived in for the last four years. Vulnerable Sector checks must be completed within the past month.
