Job Title:                        Operations Officer

Reports To:                   Executive Director

Classification:              Permanent Full-Time

Job Summary:

The Operations Officer holds an administrative support position within the office of the Dit’onik’odza Charities Limited.  Under the guidance and authority of the Executive Director, the position is responsible for performing administrative, analytical, and clerical work for the compliance department while supporting all inter departments at the Charity.  At the discretion of the Executive Director, the position may be requested to fulfill additional job functions and any other duties necessary for the best interest of the company.


  • Works closely with the ED and Controller
  • Perform administrative duties pertaining to the ED, Controller, Dit’onik’odza Charities Limited Board of Directors – typing of all correspondence and reports, minutes, telephone duties, maintaining a complete and accurate paper, and electronic filing system
  • Responsible for meetings/workshops/events of the Dit’onik’odza Charities Limited – will require strong organization and event management skills to be able to follow through events from the planning stage, through to the actual event, and then any subsequent action required such as minutes preparation and distribution, directives, and filing for Board Members
  • Designing/improvements processes for compliance, identifying processes that are out of compliance, and implementing changes that will resolve any issues
  • Accurately preparing packages of information such as proposals for delivery to AGLC or FNDF
  • Act as Cash Cage liaison such as delivering/receiving goods for Cash Cage, maintaining a uniform inventory for employees, and new employee orientation.
  • Assisting compliance efforts for FINTRAC related regulations for the Charity Cash Cage
  • Assist in reviewing data for FINTRAC/AGLC/FNDF audits
  • Perform other clerical duties such as word processing, compiling, and recording data, maintaining files and inventories, operating office equipment, sorting mail, photocopying, and creating forms
  • Assist where each application is conducted in accordance with the AGLC Charitable Gaming Policies
  • Assist on ensuring sub-charities workplans are carried out in accordance with proposals
  • Conducts site visits to ensure the program mandates are adhered to
  • Assist with program audits with regulators
  • Regularly reviews all program spending to ensure that it is compliant with AGLC Charitable Gaming Policies
  • Be able to consistently be at work from 8 am to 4 pm
  • Perform other related duties that may be assigned by the ED or Controller


  • Minimum 3-5 years’ experience in an administrative support role and/or possess post-secondary administrative training
  • Knowledge of basic accounting principles
  • Knowledge of regulatory requirements
  • Excellent computer skills and knowledge of various programs (Word, Excel, PowerPoint, Microsoft Teams, MS Outlook, Zoom)
  • Strong organizational skills
  • Ability to work independently and take initiative, and function effectively without continuous direction
  • Excellent verbal and written communication skills
  • Excellent listening skills
  • A friendly and outgoing personality
  • Aptitude for accuracy and detail in work
  • Must be able to handle pressure and react positively to stressful situations
  • Must possess exemplary interpersonal skills and positive attitude
  • Must be able to take direction and be able to work with minimum supervision
  • Must be willing to obtain further training and education as required
  • Must uphold strict confidentiality and not permitted to disclose information respecting the operations or activities of the organization
